Policy Statement

South Asian Heritage Trust values the vital role volunteers play in helping us achieve our mission to celebrate, preserve and promote South Asian heritage in the UK. We are committed to creating an inclusive, supportive and respectful environment where volunteers feel welcomed, empowered and appreciated.

Volunteering with SAHT is a voluntary arrangement and does not create a contractual relationship. However, we expect mutual respect, open communication and a shared commitment to our values of inclusion, cultural pride and community engagement.

Together, we can build a legacy that honours the past and inspires future generations.

Introduction

South Asian Heritage Trust exists to raise the profile of British South Asian history and heritage through education, arts, culture and commemoration. We aim to foster deeper understanding of Britain's diversity and strengthen social cohesion.

Volunteers are a vital part of our work. This policy outlines our commitment to involving volunteers in a safe, meaningful and supportive way, ensuring a mutually rewarding experience for everyone involved.

Purpose of the Policy

This policy sets out our approach to involving volunteers and outlines the rights and responsibilities of both SAHT and our volunteers. It provides a framework for good practice to ensure that volunteering at SAHT is enjoyable, inclusive and empowering.

Our Commitment to Volunteers

SAHT seeks to involve volunteers in order to:

  • Deepen community engagement and outreach
  • Deliver high-quality cultural and heritage programmes
  • Bring diverse perspectives, skills and lived experiences into our work
  • Promote understanding and celebration of South Asian heritage
  • Support the development of new talent and leaders in the sector
Volunteering is unpaid and voluntary in nature. This policy does not create a contractual relationship between the volunteer and South Asian Heritage Trust.

Recruitment and Onboarding

All potential volunteers are asked to complete a Volunteer Participation Form. Depending on the role, an informal discussion or interview may follow to assess suitability, interest and any support needs.

Volunteers working with children or vulnerable adults will be required to undergo a Disclosure and Barring Service (DBS) check and agree to relevant safeguarding protocols.

All volunteers will receive:

  • A welcome pack and induction
  • A non-contractual Volunteer Agreement
  • Clear role descriptions and points of contact
  • Appropriate training and access to necessary tools

Equality, Diversity and Inclusion

SAHT is committed to creating an inclusive volunteering environment free from discrimination. We welcome volunteers of all backgrounds and treat everyone with dignity and respect. Our work reflects the diversity of South Asian communities and wider British society.

We do not tolerate any form of harassment, bullying or discriminatory behaviour.

Support and Supervision

Each volunteer will be supported by a named staff member or Volunteer Coordinator. Volunteers will:

  • Receive regular communication and updates
  • Be encouraged to provide feedback
  • Have access to guidance and supervision
  • Be offered development or learning opportunities where possible

Health, Safety and Wellbeing

All volunteers are covered by SAHT's Health and Safety Policy and will be made aware of venue or event-specific risks and procedures.

Volunteers are expected to:

  • Comply with safety guidelines
  • Report hazards or incidents immediately
  • Take care of their own wellbeing and that of others
Wellbeing resources and support channels are available, and we encourage open conversations about stress, workload and support needs.

Data Protection and Confidentiality

SAHT complies with the UK GDPR and is committed to protecting the personal data of volunteers. All information shared is handled confidentially and stored securely.

Volunteers are expected to respect the confidentiality of any sensitive or personal information they come across during their work with the Trust.

Expenses

We will reimburse reasonable out-of-pocket expenses related to volunteering, including:

  • Travel (public transport or mileage at the agreed rate)
  • Meals for shifts of five hours or more

All expenses must be agreed in advance and supported by receipts where applicable.

Problem Solving and Complaints

Volunteers are encouraged to raise any concerns with their supervisor or the Volunteer Coordinator. We aim to resolve issues informally and constructively, but have a formal complaints procedure available if needed.

We also reserve the right to end a volunteer placement if necessary, with due discussion and appropriate notice.

Volunteer Responsibilities

We ask that all volunteers:

  • Represent SAHT positively and professionally at all times
  • Adhere to agreed schedules and communicate promptly if unavailable
  • Follow our Code of Conduct and all relevant policies
  • Participate in induction and required training
  • Respect others and act inclusively in all interactions

Recognition and Development

SAHT recognises and values the contribution of every volunteer. We will:

  • Sincerely Thank you! regularly, meaningfully and in public
  • Provide references for volunteers who have completed a placement
  • Offer opportunities to develop skills and gain experience
  • Celebrate volunteer contributions through our communications and events
  • Invite volunteers to relevant SAHT events and activities
